Booking Terms and Conditions

These are legal terms that affect your rights. By making a booking with KEO Wellbeing PTY Ltd you are agreeing to the following Terms & Conditions:


The “Trainer” refers to the Australian registered business “KEO Wellbeing PTY Ltd, trading as OnTrack Retreats”. The “Activity” refers to the participation in personal/group strength, fitness and conditioning training and general advises.
You acknowledge that it is a condition of participating in this activity that you do so at your own risk. You accept all risks and hereby indemnify and release the Trainer, their agents, affiliates, employees, members, sponsors, promoters and any person or body directly or indirectly associated with the trainer, against all liability (including liability for their negligence and the negligence of others) claims, demands, and proceeding arising out of or connected with my participation with the activity. This release and indemnity continues forever and binds your heirs, successors, executors, personal representatives and assigns.
You acknowledge participating in the activity may involve a risk of serious injury or even death from various causes including: over exertion, dehydration, equipment failure & accidents with equipment and surroundings. You recognize the difficulties associated with this activity and attest you are physically fit to participate safely in the activity and that a qualified medical practitioner has not advised you otherwise. You understand the demanding physical nature of this activity. You are not aware of any medical condition, injury or impairment that will be detrimental to your health if you participate in the activity. In the event that you become aware of any medical condition, injury or impairment that may be detrimental to your health if you participate in this activity your Trainer will be immediately informed. By continuing to participate in this activity, you accept the risks despite these conditions and you are still, and will always be under the terms of this agreement.


Upon booking you agree to the following KEO Wellbeing PTY Ltd (trading as OnTrack Retreats) (“OnTrack”) policies and terms and conditions.

Booking & Payments Policy 
A 20% deposit is required to secure all bookings. Final and balance payments are due strictly 21 days prior to your official program start date. Deposits can be made by credit card (excluding Diners and AMEX) or direct deposit. Final balance payments can be made by direct deposit. If you require your final payment to be made via a credit card please be advised that a 1.5% surcharge may apply to your account.

Cancellation and Re-Schedule Booking Policy
To protect us and to ensure you follow through on your commitment to attend the retreat you can’t change or cancel your program within 14 days of your start date. In addition, once the program has started there are no refunds or cancellations for early departure or if you can’t take part for any reason. We therefore advise you to take out insurance to cover the full cost of the program to protect you in case you can’t take part for any reason.

Cancellation 21 days in advance or greater will result in forfeit of the deposit paid. If notice is given between 20 and 14 days before retreat commencement a penalty fee of 50% of the full value of the programme will apply. Cancellation less than 14 days in advance will result in nil refund.

No cancellations or refunds will be made irrespective of circumstances if you cancel within 14 days of arrival or once your program has started. You are therefore advised to seek suitable travel or other insurance that insure you against circumstances (e.g. illness, injury, family issues) that may prevent you taking part. Bookings are non-transferable. Bookings cannot be sold to another party for resale and will be cancelled without refund if used by anyone else.

Changes to dates (subject to availability) can be made up to 14 days of arrival subject to a change fee of $450 per person. You can’t reschedule your booking less than 14 days before arrival. In the event of a change you will receive a credit note for us against a future booking within 6 months. This credit will expire 6 months after your original start date. 

OnTrack reserves the right to cancel your position in the program at any time should management deem necessary. Any client who cancels their program once it has commenced, notice is given either through their own circumstances or under instructions from OnTrack management, is subject to a strictly nil refund policy without exception.

Program Attendance Policy
Due to the structure of our sessions it is vital that you do not miss any day or part of your program. If for any reason while on the program you are unable to attend any day or part of a day, we are unable to refund or reschedule any sessions that you miss.

Client Behaviour Policy 
Smoking, alcohol, illegal drugs and/or substances are not permitted while attending the OnTrack program at any time. The client is responsible for disclosing any prescription medication they intend to bring with them and is subject to approval by OnTrack management. OnTrack will provide all food and drink items for all guests to coincide with the OnTrack meal plan, therefore guests are not permitted to bring food or drinks into your room. Guests are to respect the privacy of other guests by entering only the room/suite allocated to them. Obscene and abusive language will not be tolerated and all guests deserve to be treated with respect. For the safety of all guests, any guest found using intimidating or abusive language or behaviour will be asked to leave the program and will be subject to our normal cancellation policy above. Only OnTrack weight loss retreat clients who have paid for the program & accommodation are permitted stay overnight in the accommodation. Visitors must be pre-arranged with OnTrack staff. In addition, OnTrack may take photographs or video during your stay and by agreeing to these terms and conditions you are releasing all rights associated with this media and enabling OnTrack to use the images and video at the discretion of OnTrack.

Accommodation Policy 
Clients accept that the OnTrack program is offered out of facilities owned and operated by third parties (including but not limited to Novotel Geelong Hotel and Pullman Magenta Shores Resort, collectively known as the “accommodation provider‟). Any issues or concerns regarding the facilities (including accommodation) are the sole responsibility of the accommodation provider, OnTrack accepts no liability or responsibility for issues related to the facilities. OnTrack reserves the right to change the accommodation provider to an alternative provider of a similar standard should the current accommodation providers be unavailable. OnTrack reserves the right to change the room type the client has been booked if the chosen room type is unavailable. The room allocated will be of the same or higher standard. If a room type nor of the same or higher standard the client will be offered a lower standard of room and offered a refund on the difference in cost of the room booked and the new room type allocated, or the client may select to move to another OnTrack retreat location which has a similar room type available.
The Accommodation may take a pre-authorization of your credit card on arrival to cover any extras charged to your room account. It will also act as security or to cover damage or replacement costs associated with each client’s individual room hire and are at the discretion of the accommodation provider of the accommodation. Clients are also responsible for settlement of any amounts charged to their room during their stay directly with the accommodation provider including but not limited to telephone charges, pay per view TV and room service fees. OnTrack accepts no liability or responsibility over disagreements between clients and accommodation provider in this regard. Each client will be responsible for additional services such as phone calls, and other services (outside of the OnTrack program content). Individual client accounts will need to be finalized prior to or at departure by credit card or cash.
